Job Description

  • Coordination and planning of appointments, meetings, conferences, external social events and other events as needed
  • Management and coordination of calendars for Senior Leaders
  • Management and leadership of projects assigned by Senior Leaders (in scope projects directly linked to Senior Leaders, out of scope are projects linked to the Senior Leaders Teams)
  • Assist with travel arrangements for Senior Leaders including booking travel, expense processing via Concur, visa requirements
  • Preparing and communicating agendas, building presentations and presentations where required
  • Cooperation with the local team to deliver communication to the office, including newsletters, events, etc.
  • Processing of general correspondence, preparing emails, letters and other documentation as required
  • Covering reception/office facilities duties if needed (not often)
  • Proactively identifying processes, technologies or other means of improving efficiency and productivity for self and managers
  • Adhoc proofreading of correspondence/presentations as directed
  • Carrying out ad hoc projects as required to support the organisation

The Successful Applicant

  • Must be available soon and ready to start immediately.
  • Highly organized and proactive, with experience in executive support at the board or senior leadership level.
  • Strong ability to manage multiple priorities in a fast-paced, international environment.
  • Excellent communication skills and discretion in handling confidential information.
  • Proficiency in Microsoft Outlook and Google Suite.
  • Adaptable, with the ability to make independent decisions and improve processes for efficiency.
  • Fluency in English is required.
  • Experience in a multinational or multi-regional organization is highly preferred.
