Functieomschrijving

Responsibilities

  • Organize and schedule meetings and appointments, and manage executives' schedules, calendars, and appointments
  • Partner with HR to maintain office policies as necessary, and coordinate with IT department on all office equipment
  • Collation of meeting minutes and reports for board meetings and other relevant internal / external meetings
  • Assist with research on real estate and private equity opportunities and assist with due diligence
  • Assist with developing marketing and communication materials for certain investment opportunities
  • Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time
  • Manage contract and price negotiations involving office vendors, service providers, and office lease
  • Assign and monitor clerical, administrative, and secretarial responsibilities and tasks among office staff
  • Participate in the recruitment process for hiring roles involving office management, and provide new hire orientation and train new hires
  • Preparing annual budget for the office, planning the expenditures, analyzing variances, and carrying out necessary corrections that may arise
  • First point of contact for office maintenance, mailing, shipping, supplies, equipment, billing, and other office management related duties
  • Maintain a safe, secure, and pleasant work environment

Profiel

Qualifications

  • Bachelor's degree in business administration, office management, or a related field (or equivalent work experience)
  • A minimum of 4+ years of proven experience in office management or a similar administrative role
  • International experience preferred; multilingualism is an asset (Dutch, Spanish, English in particular)
  • Excellent communication and interpersonal abilities; Attention to detail and a high level of accuracy
  • Proficiency in office software and basic knowledge of IT systems
  • Ability to handle multiple tasks and prioritize effectively
