Job Description

  • Responsible for maintaining the office facility to a first-rate professional image
  • Hands-on management of reception. (1 FTE Receptionist but the office manager also need to be back-up in case of illness or vacation.)
  • Attending tenants meeting and liaising with building management
  • Coordinate of the handyman and external vendors for Office Management assistance, such as routine repairs and supply deliveries
  • Work closely with the company travel agent in resolving travel issues
  • Cooperate with the IT department regarding the purchase of office (IT) equipment for work stations, meeting rooms etc.
  • Act as the main contact person for security issues
  • Organize and supervising maintenance & cleaning services in the office
  • Close collaboration with the Symphony Office/Facility Management on a wide range of issues
  • Negotiate with external suppliers for office supplies, negotiating prices and contracts, managing the storage rooms
  • Be the owner of several internal administration procedures such as registration of access passes
  • Identify opportunities for process and office management improvement
  • Organize lease cars for new hires, and on going vendor relationship
  • Participate in yearly budget preparations through proposing budgetary items
  • Manage facilities. You'll manage the day-to-day operations in the office, ensuring services are provided in the most efficient manner, including deliveries, decor, waste management, and office supplies, etc
  • Respond to requests/complaints/suggestions from co-workers in a diligent, professional and respectful manner

The Successful Applicant

We are looking for someone who is able to communicate in Dutch and English

The ideal person will be approachable with excellent attention to detail, who is always willing to go that extra mile.
We have a preference for a full-time candidate however
