Our client is searching for a highly organised and proactive Team Assistant (and EA) who focuses on providing day-to-day operational support, ensuring efficient coordination of back-office activities within a dynamic, international setting. Reporting to the Senior Vice President, Head of Acquisitions and Dispositions, you will collaborate closely with senior stakeholders and work in partnership with Executive Assistants across the EU leadership team.

Functieomschrijving

Your responsibilities as Executive Assistant / Team Assistant consist of, yet are not limited to:

  • Provide comprehensive administrative and operational support, including preparation of correspondence, reports, and other business documents
  • Coordinate domestic and international travel arrangements, ensuring well‑structured itineraries aligned with changing schedules
  • Proactively manage calendars for assigned managers, scheduling meetings, resolving conflicts, and prioritising commitments to support effective time management
  • Organise and coordinate internal and external meetings, including in‑person sessions and virtual calls via Zoom or Microsoft Teams
  • Prepare meeting materials and oversee logistics such as venue bookings, catering, attendance tracking, and on‑the‑day coordination
  • Support the planning and execution of team events, broker dinners, and property tours, managing logistics from invitations through completion
  • Manage expense reporting processes for assigned team members and track corporate credit card usage to ensure timely submissions and payments
  • Provide collaborative coverage and back‑up support for senior leadership Executive Assistants during holidays, while assisting with ad‑hoc projects as required

Profiel

  • More than two years of experience in a similar position
  • Experience in the Real Estate or E-commerce sector is a major plus
  • BA or MSc degree
  • Excellent communication (written and verbal), analytical and interpersonal skills
  • Ability to handle multiple tasks under tight deadlines
  • Highly detail and precise oriented
  • Desire to work in a challenging international environment
  • An energetic, "can do and will do" approach
  • Fluent in English, Dutch is an advantage
  • Available on short notice
  • 32 to 40 hours a week
