Our client is seeking a detail-oriented and organized Administrative Operations Assistant to oversee the import/export process for air shipments. This role is essential in ensuring the timely delivery of shipments and adherence to customs regulations. The ideal candidate will coordinate with a variety of stakeholders-including customs officials, carriers, suppliers, and internal teams-to support efficient, customer-focused operations. Success in this role requires excellent communication, keen attention to detail, and a commitment to customer satisfaction.

Functieomschrijving

  • Shipment Coordination: Track inbound airfreight shipments, ensuring prompt customs clearance and on-time delivery.
  • Documentation Management: Prepare and review essential documents (e.g., invoices, packing lists, customs declarations) to maintain accuracy and compliance.
  • Stakeholder Communication: Work closely with suppliers, airlines, and customs brokers to address import/export-related issues.
  • Transportation Arrangements: Arrange transportation and negotiate with carriers for cost-effective and efficient movement of goods.
  • Inventory Oversight: Conduct inventory reconciliations and monitor stock levels for import/export items.
  • Regulatory Compliance: Stay informed on import/export regulations, customs tariffs, and trade agreements to aid in compliance.
  • Staff Support: Assist in employee retention efforts and provide training support as needed.
  • Issue Escalation: Report progress, challenges, or issues to the department manager.
  • Flexible Availability: Be prepared to work flexible hours, including outside standard business hours and on-call rotations.
  • Customer Service: Address and resolve customer inquiries, complaints, and requests related to airfreight services.
  • Vendor Evaluation: Support the selection of service providers to optimize supply chain performance.
  • Finance Coordination: Collaborate with the finance department to manage and reconcile import/export invoices and payments.



Performance Metrics:

  • On-Time Delivery Rate: Tracks the percentage of airfreight shipments delivered within the agreed timeframe.
  • Response Time Efficiency: Measures the average response time for addressing customer inquiries, ensuring timely support.
  • Customs Clearance Time: Monitors the average time taken for customs clearance to minimize delays.
  • Shipment Accuracy: Evaluates the accuracy of documentation and processes to ensure high service quality.
  • Customer Satisfaction: Assesses customer feedback through surveys, ratings, and feedback to gauge satisfaction with services provided.

  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both written and verbal.
  • Familiarity with import/export regulations and customs procedures.
  • A customer-focused approach with the ability to resolve issues promptly.
  • Proficiency in relevant software and systems used in logistics and shipping operations.
